Last week we covered Slack’s invite flow, and — thanks to confirmation bias 🧠 — I’ve been noticing details on invite flows everywhere since 🙄 So, this week we’re covering Notion. I was wrapping up a project on Q1 learnings for a client when Notion emailed — Dan didn’t have access. Yikes!
We’d just done a big workshop, and I’d sent the extra resources but hadn’t checked permissions. Rookie mistake. I click ‘go to page’ from the email, and the Notion page in question opens in my browser. First thing I notice is where sharing sits in the UX. ’Share’ is the first item in the left-hand page navigation. So prominent.
Then we’ve got the share module that pops up on my screen. Notice anything cool here?
Let’s break it down: What’s interesting to me here is: ✅ Low cognitive load 🧠 The decision is framed simply, with only essential information surfaced and no clutter. ✅ High transparency 🧠 The statement “this workspace will be billed for 1 member” is upfront, which builds trust by managing expectations around cost impact. ✅ Low pressure 🧠 Given the CTAs are the same in terms of colour, size and weight, it’s left up to the user to make the right decision, based on the available information. Potential changes to test: ❓ Personalise the workspace name: Instead of ‘this workspace’, would inserting the actual name add confidence or just add clutter? ❓Exact price change for my workspace: This user actually costs me $0, as we have a deal that gives us a free workspace for a year. There’s unnecessary worry on this page due to the lack of price personalisation. ❓Clarity on what Dan’s state currently is: Do I need to give access? What access does he currently have? What would compel me here is ‘Dan can’t view this page’, or clarity on what state he’s in right now. TL;DR: One growth insight 🚀Add key info. Remove the clutter. Help people act faster.
